IMS TUTORIAL 3   – PURCHASE ORDER FOR AN INTERNAL TRANSACTION

SCREEN 1

  • Once you log into the SupplyNote, from the dashboard, click the name of the restaurant (encircled in yellow)
  • As you check on the name, a list of outlets appears; select the one you want to raise the invoice. (Encircled in red)

SCREEN 2

Click on the purchases (encircled in red) and later click on create a purchase order (encircled in yellow)

SCREEN 3

  • As the New purchase order opens, enter the details below
  • Vendor Name – The name of the Wearhouse to which the goods have to be transferred
  • Pickup address – Wearhouse pick up address
  • Billing address – The billing address of the restaurant chain.
  • Expected Delivery date – The date the product is supposed to be delivered.

SCREEN 4

  • Select the product needed in the item details (encircled in red).
  • The number of items to be entered in the quantity column. (Encircled in yellow).
  • Later click on the add button (encircled in green).
  • To confirm the order and send it to the vendor, click on save and send on the top right side of the screen (encircled in blue)

SCREEN 5

  • Once the order is sent, we must select the warehouse from the dashboard. (Encircled in yellow)  
  • Choose the warehouse and click on the option (encircled in red)

SCREEN 6

  • Open the sales module by clicking on the sales button. (Encircled in red)
  • Click on the sales order history. (encircled in yellow).
  • Select the order and open it out of the given list of transactions. (Encircled in green)

SCREEN 7          

  • Once you open the order, confirm it by clicking the confirm button (encircled in green)
  • Select the customer billing address (encircled in yellow) as the order opens.

SCREEN 8

  • Once all the details are filled click on the confirm and send located on the upper right side of the screen (encircled in yellow)
  • Later click on covert to invoice (encircled in green).

SCREEN 9

Enter the seller invoice number in the invoice column (encircled in red) and click on the save button (encircled in yellow).

SCREEN 10

  • Once the item is selected, click on the deliver items. (Encircled in yellow)
  • Later log in to the outlet dashboard by selecting the outlet (encircled in red).

SCREEN 11

  • Once we receive the item at the outlet, click on the open bill and receive. (Encircled in red)
  • Later click on receive item (encircled in yellow) and click on receive (encircled in green)

SCREEN 12

You can download the invoice by clicking on the download PDF (encircled in yellow)

SCREEN 13

  • If you want to tag the bill for future reference, the same can be done by clicking on the doc (encircled in yellow).
  • Click on the attached icon (encircled in red) and select the invoice from the p.c. / laptop and click on open (encircled in blue).
  • Click on the upload button (encircled in yellow – below)
  • By attaching the invoice, we can track the goods received in the store
